These Terms & Conditions govern all services provided by Pinned & Planned we”, “us”, “our”) to the client (“you”, “your”) in relation to hen party planning, holiday planning, event planning, party coordination, and related concierge services.

 

By paying and booking a service, or engaging with us for planning services, you agree to these Terms & Conditions.

 

1. Our Services

 

We provide planning and coordination services including but not limited to:

 

Hen party planning

Group holiday planning

Birthday party planning

Celebration and themed event planning

Venue sourcing

Supplier coordination

Activity and entertainment booking

Accommodation research and booking assistance

Itinerary creation

Travel planning support

Decor and styling coordination

On-the-day event management (where agreed)

 

All services are subject to availability and may vary depending on your selected package.

 

 

2. Booking & Deposits

 

A booking is confirmed only once:

 

The required deposit or planning fee has been paid.

 

Payments are non-refundable unless we cancel the booking prior to the planning service beginning.

 

We reserve the right to decline any booking at our discretion.

 

 

3. Payment Terms

 

3.1 Planning Fees

 

Planning and coordination fees are payable as outlined in your invoice or package agreement.

 

3.2 Supplier Payments

 

Where third-party suppliers are involved (including hotels, activity providers, transport companies, venues, decorators, entertainers, or travel providers), payments may be:

 

Paid directly by you to the supplier; or

Collected by us on behalf of the supplier.

 

You remain responsible for ensuring all balances are paid by the specified deadlines.

 

3.3 Late Payments

 

Failure to make payments by the due date may result in:

 

Cancellation of bookings,

Loss of deposits,

Supplier cancellation fees,

Suspension of planning services.

 

We are not responsible for any losses caused by late payment.

 

 

4. Cancellations & Refunds

 

4.1 Client Cancellation

 

If you cancel your booking:

 

Planning fees already paid are non-refundable.

Supplier refunds are subject to the individual supplier’s own cancellation terms.

Some bookings may be fully non-refundable.

 

Where possible, we will assist in recovering refundable amounts from suppliers, but we cannot guarantee refunds.

 

4.2 Guest Drop-Outs

 

For group bookings, if individual guests withdraw after bookings have been confirmed:

 

Remaining group members may become responsible for covering the outstanding balance.

Price changes may apply if minimum group numbers are no longer met.

 

4.3 Our Cancellation Rights

 

We reserve the right to cancel services if:

 

Payments are not received,

Abusive or threatening behaviour occurs,

Fraudulent activity is suspected,

Circumstances beyond our control prevent delivery of services.

 

In such cases, refunds will be considered at our discretion and subject to third-party supplier terms.

 

 

5. Changes to Bookings

 

Any requested amendments must be made in writing.

 

Changes may incur:

 

Additional planning fees,

Supplier amendment fees,

Increased pricing due to availability changes.

 

We cannot guarantee that requested changes can be accommodated once bookings are confirmed.

 

 

6. Travel & Holiday Planning

 

6.1 Responsibility for Travel Documents

 

Clients are responsible for ensuring all travellers have:

 

Valid passports,

Visas (where required),

Travel insurance,

Vaccinations or health documentation,

Any required entry documentation.

 

We are not liable for denied boarding, refused entry, or travel disruption caused by missing documentation.

 

6.2 Travel Insurance

 

We strongly recommend comprehensive travel insurance for all trips and group holidays.

 

6.3 Flights & Transport

 

Unless expressly agreed otherwise, we act only as a planner/coordinator and not as the transport provider.

 

We are not responsible for:

 

Flight cancellations,

Delays,

Missed connections,

Lost luggage,

Transport provider failures.

 

 

7. Third-Party Suppliers

 

We work with independent third-party suppliers.

 

Although we take reasonable care in selecting reputable suppliers, we are not liable for:

 

Supplier failure,

Service quality issues,

Injury caused by third parties,

Venue closures,

Activity cancellations,

Weather disruption,

Bankruptcy or insolvency of suppliers.

 

Any disputes relating to supplier services may need to be resolved directly with the supplier.

 

 

8. Client Responsibilities

 

You agree to:

 

Provide accurate information,

Ensure all guests behave respectfully,

Follow venue and supplier rules,

Inform us of any accessibility requirements, allergies, or relevant medical issues where they may affect bookings.

 

You are responsible for any damage caused by you or your guests during events, accommodation stays, or activities.

 

 

9. Alcohol, Conduct & Safety

 

Many hen parties and celebrations involve alcohol consumption.

 

We accept no responsibility for:

 

Intoxication,

Injury caused by reckless behaviour,

Refused venue entry,

Ejection from venues,

Arrests, fines, or legal matters involving guests.

 

We reserve the right to withdraw services if behaviour becomes unsafe, abusive, illegal, or threatening.

 

 

10. Force Majeure

 

We are not liable for delays, cancellations, or failure to perform services due to circumstances outside our reasonable control, including but not limited to:

 

Severe weather,

Pandemics,

Government restrictions,

Natural disasters,

Transport disruption,

Supplier insolvency,

Industrial disputes,

Acts of terrorism,

Power or technology failures.

 

 

11. Liability

 

To the fullest extent permitted by law:

 

Our liability is limited to the amount paid directly to us for planning services.

We are not liable for indirect, consequential, or financial losses.

We are not liable for injury, loss, damage, delay, disappointment, or inconvenience caused by third-party suppliers.

 

Nothing in these Terms excludes liability for death or personal injury caused by negligence where exclusion is unlawful.

 

 

12. Photography & Social Media

 

Unless you request otherwise in writing, we may use photographs, videos, or content from events for marketing and promotional purposes.

 

You confirm that you have permission from attendees before sharing group images with us.

 

 

13. Data Protection & Privacy

 

We will process your personal information in accordance with applicable UK data protection laws.

 

Your information will only be shared where necessary with suppliers involved in your booking.

 

We will not sell your personal data to third parties.

 

 

14. Complaints

 

Any complaints must be submitted in writing within 14 days of the event or trip completion.

 

We will aim to investigate and respond within a reasonable timeframe.

 

 

15. Intellectual Property

 

All itineraries, planning documents, concepts, mood boards, schedules, and materials created by us remain our intellectual property unless otherwise agreed in writing.

 

These materials may not be copied, resold, or distributed without permission.

16. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

 

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

 

 

17. Acceptance of Terms

 

By booking services with Pinned & Planned or engaging with us for planning services, you confirm that you have read, understood, and agreed to these Terms & Conditions.
